Position Overview:

All Care is seeking a Facilities Coordinator to support the efficient operation, maintenance, and safety All Care facilities. This role coordinates the activities of staff, workers, and contractors to ensure timely completion of maintenance, repairs, and improvement projects. The Facilities Coordinator is responsible for recommending, purchasing, and maintaining equipment, systems, and other agency assets, while ensuring all facilities remain safe, functional, and compliant with applicable regulatory codes.

Schedule: Monday-Friday, 9am-5pm

Work Location: This position is based in our Lynn office but will require travel to satellite office in North Andover.

Essential Duties & Responsibilities:
  • Solicit, evaluate, and select bids from contractors for facility maintenance, repairs, alterations, and improvements.
  • Coordinate project schedules and ensure timely completion with vendors and contractors.
  • Oversee and direct contracted services (e.g., snow removal, cleaning, pest control) as needed.
  • Collect and track project details, including timelines, costs, and potential issues.
  • Schedule and manage required inspections (e.g., fire, safety, extinguishers).
  • Negotiate contracts to secure cost-effective pricing using appropriate references (catalogs, manuals, parts lists).
  • Perform and coordinate routine maintenance tasks (e.g., light bulb replacement, minor repairs, carpet upkeep, snow/ice removal).
  • Maintain organized inventory of office and maintenance supplies.
  • Serve on-call outside normal business hours, including evenings, weekends, and holidays, for emergencies.
  • Assist with agency vehicle upkeep, including cleaning, distribution, and coordinating maintenance services.
  • Receive and verify orders for accuracy, quality, and quantity; coordinate with Accounts Payable as needed.
Qualifications:
  • Valid driver’s license required.
  • Must have reliable transportation and maintain active auto insurance.
  • High school diploma or GED required.
  • Experience in facilities coordination, maintenance, or a related field.
  • Knowledge of safety standards and regulatory compliance.
  • Strong organizational and communication skills.
  • Ability to manage multiple tasks and coordinate with diverse teams.
  • Proficiency in Microsoft Word, Outlook, and Excel.
